Job Description: Order Fulfillment & Final QA Associate

Position Summary

This is the last set of eyes on everything CTT ships. Our devices go to researchers in over 50 countries, and most orders are configured to a specific project — particular frequencies, duty cycles, weights, attachments, and accessories. If an order goes out wrong, the researcher often doesn't discover it until they're in the field, in a remote location, in a narrow tagging window. That makes final QA one of the highest-leverage jobs in the building.

The Order Fulfillment & Final QA Associate verifies completed orders against what the customer actually ordered, photographs and documents each order, packs it, produces the shipping and customs paperwork, and gets it out the door. Volume currently runs roughly 5–15 packages per afternoon, with seasonal peaks.

This is a good role for someone who is genuinely organized and takes satisfaction in catching the thing everyone else missed. No electronics background required — we'll teach you the products.

At CTT teams are small and nimble, and team members are often called upon to assist outside their primary duties. As we grow we're pushing toward more cross-training and resisting the siloing that happens during rapid growth.

Key Responsibilities

Final Quality Assurance

• Verify every completed order against the order record before it is packed: quantity, product, configuration, part numbers, and specified settings
• Confirm all accessories are present and correct — antennas, harnesses, attachments, chargers, cables, hardware, and documentation
• Verify device IDs and serial numbers are recorded against the correct order
• Catch mismatches and incomplete orders and route them back to the floor before the box closes
• Escalate discrepancies to manufacturing and sales clearly and promptly

Order Documentation & Photography

• Photograph each order and its units prior to packing, per CTT standard
• Attach images to the order record so sales, support, and the customer have a verified record of exactly what shipped
• Maintain complete, searchable order documentation in Airtable and internal tools

Packing

• Select appropriate packaging and protect fragile, lightweight, and high-value hardware for long international transit
• Pack multi-unit and multi-box orders clearly and traceably
• Maintain a clean, organized, well-labeled shipping room and staging area

Shipping Labels & Documentation

• Generate labels and manifests through FedEx, DHL, UPS, and USPS platforms
• Produce commercial invoices, packing lists, and customs documentation for international shipments, with correct HS codes, values, and country-of-origin details
• Coordinate with customer-designated freight brokers and forwarders where required
• Schedule and confirm carrier pickups; track shipments and resolve exceptions, delays, and lost or damaged claims

Dangerous Goods & Lithium Battery Compliance

• Package, mark, label, and document shipments containing lithium cells and batteries in compliance with 49 CFR, the IATA Dangerous Goods Regulations, and the IMDG Code
• Apply the correct provisions for cells and batteries shipped standalone, "packed with equipment," and "contained in equipment," including state-of-charge limits for air transport
• Complete Shipper's Declarations where required
• CTT provides and pays for this training. Certification is expected within the first 90 days and maintained thereafter.

Receiving

• Receive inbound components, materials, and customer returns/RMAs
• Verify received goods against purchase orders and packing slips; document shortages and damage
• Log receipts into inventory and route material to stock, manufacturing, or engineering

Inventory & Supplies

• Perform cycle counts and help maintain inventory accuracy
• Manage packaging and shipping consumable stock; reorder before it runs out
• Document defective and returned material

Communication & Improvement

• Post order status updates so sales and support always know what has shipped and what is staged
• Respond to internal requests for order and tracking status
• Identify friction in the fulfillment workflow and propose fixes — this role sees the whole pipeline and is well placed to improve it
• Follow all safety rules and procedures; cross-train and pitch in whenever needed

Qualifications

Required

• High school diploma or GED
• Genuine attention to detail and the habit of verifying against a written spec rather than from memory
• Strong organizational skills; comfortable tracking many concurrent orders at different stages without losing track of any
• Basic computer proficiency: spreadsheets, web applications, and carrier portals
• Clear written communication
• Able to lift up to 50 lbs and remain on your feet for extended periods
• Reliable attendance — orders ship every day

Preferred

• Shipping, receiving, fulfillment, or warehouse experience
• Experience with carrier software (FedEx Ship Manager, MyDHL+, UPS WorldShip/CampusShip, ShipStation, or similar)
• International shipping and customs documentation experience
• Existing hazmat / lithium battery shipping certification (49 CFR, IATA DGR)
• Experience with Airtable or a comparable database/CRM
• QA, inspection, or quality-control background in any industry
• Comfort taking clean, consistent product photographs
• Interest in wildlife, conservation, or field research

Performance Metrics

• Order accuracy: percentage of orders shipped exactly as ordered
• Dispatch speed: orders shipped same or next business day once released to shipping
• Photo and order documentation completeness
• Customs documentation accuracy and customs hold rate
• Zero dangerous goods compliance violations
• Inventory count accuracy
• Errors caught at final QA versus errors reaching the customer

Working Conditions

On-site at our Rio Grande, NJ facility. Shipping room and manufacturing floor environment with a mix of standing, walking, bench inspection, and computer work. Some lifting and material handling. Standard weekday schedule aligned with daily carrier pickup deadlines, with occasional flexibility needed during seasonal peaks and shipping crunches.
